Who is responsible
Bailey & Prosper Holdings Ltd is responsible for personal information used to operate Splendina, manage accounts and respond to enquiries. Contact hello@splendina.com about privacy or write to our registered office below.
When an organisation uses a workspace to manage its own contacts, reviews or content, that organisation determines why those records are processed. We process them on its instructions to provide the service. Requests about a customer organisation’s records should normally go to that organisation; we can help identify the appropriate contact.
Information we use
- Account and workspace details, including names, email addresses, organisation details, membership and access roles.
- Information submitted to a workspace, such as briefs, writing samples, author profiles, drafts, images, review invitations and responses, contact details and approval history.
- Data from integrations you choose to connect, including website performance and search information. The information available depends on the integration and permissions you grant.
- Support correspondence, account activity and technical information needed to run and protect the service, such as request metadata and error records.
Do not put confidential patient information, special category personal data or third-party secrets into content briefs or writing samples. Only upload information you are authorised to use.
Purposes and legal bases
We use account information to provide the requested service and administer our contract with you where you are the contracting individual. For business contacts, service security, support and administration, we rely on our legitimate interests in running a reliable service and communicating with the organisations using it. We use information to meet legal obligations where required. Optional integrations operate after you choose to connect them; you can revoke the relevant permissions.
Customer workspace records are processed under the customer’s instructions. The customer is responsible for its own lawful basis, notices and permissions. We do not sell personal information.
Service providers and generated content
Splendina uses Vercel for hosting, Supabase for database, authentication and storage, Resend for email delivery, and Anthropic for content generation. Briefs, relevant writing samples and draft content can be sent to Anthropic when you use generation features. Avoid including unnecessary personal information in those materials.
Google services process information when you connect search or reviews integrations. Other services you choose to connect receive information required for that integration. Payment processing, where enabled and agreed, is handled by Stripe. We may also disclose information to professional advisers or authorities where necessary and lawful.
Storage and international processing
The primary Supabase database is configured in London. This does not mean every provider processes information only in the UK. Hosting networks, email delivery, support and generation services may involve processing or access in other countries. Applicable provider terms and transfer arrangements depend on the service and account configuration. Contact us for the processing agreement and safeguards applicable to your workspace.
Retention
Workspace records are held while required to provide the service under the customer’s instructions. Account and support records are kept while needed for administration, security, resolving disputes and any applicable legal obligations. Contact us to request an export or deletion, or to agree a retention schedule before uploading information with specific deletion requirements.
Deleting a visible record may not immediately remove every copy from provider backups, security logs or records subject to a legal hold. Contact us for the retention arrangements applicable to your workspace.
Cookies and browser storage
Authentication uses cookies to maintain and refresh your sign-in session. The application also stores your selected theme in browser storage and a preference cookie. These support sign-in and your chosen appearance. Blocking or clearing them can sign you out or reset preferences.
Your rights
Depending on the circumstances, you can request access, correction, erasure, restriction or portability of your personal information, object to processing based on legitimate interests, and withdraw consent where processing relies on it. Some rights have exceptions. We normally respond within one month; permitted extensions may apply to complex requests.
You can complain to the Information Commissioner’s Office. We would welcome the opportunity to address your concern first. We update this notice when our processing changes.
